Rules and Conditions

1.Any additional rules applying to a specific event or clinic will be stated on the individual downloaded/printed schedule and on the website information. If you are in any doubt please contact the Secretary or a member of the HWRC Committee.

2.The course’s owner, instructors or HWRC do not insure the rider, the horse/pony or any tack, equipment and vehicles. You are strongly advised to always have in place your own adequate horse, public liability, vehicle and personal accident insurance.

3.The Venue, HWRC and the instructors will not be held responsible for any accident, injury or loss to any person or their property however this may be caused.

  • 4.Horse/Pony sports are dangerous. Neither the HWRC committee, nor any persons acting on their behalf, nor the landowner can accept any liability for loss, damage, accident or injury to any persons, horses/ponies or property.

5.The Committee reserve the right to refuse or reject any entry or application to attend an event without reason being given

6.The Committee reserve the right to amend or cancel any class at their discretion, without reason being given

7.The Judge's decision is final in all events.

8.No horses or ponies under the age of 4 years may be ridden in any class or on the event grounds.

9.Stallions must notbe handled and ridden by people who have not attained their 14th birthday on the 1st January in the current year.

10.Any competitor may be warned or disqualified for improper or excessive use of whips, spurs etc. or other actions which the Judges or Officials consider warrants such penalty.

11.Correct riding attire must be worn at all times. All riders whether competing or not, must wear the correct headgear with a harness properly adjusted and fastened. Hats/helmets must conform to current standards as shown in the British Riding Club handbook available on their website.

Failure to wear approved headgear will incur elimination.

12.Back protectors must be worn to the latest BETA standard during any cross-country phase and are highly advisable when taking part in any riding activity.

Failure to wear a back protector in any cross-country phase will incur elimination

  1. Medical armbands must be worn during the cross-country phase.

14.All complaints must be made in writing and handed to the secretary with a deposit of £20 within 15 minutes of the incident, returnable if the objection is upheld.

15.A refund (less an admin fee) may be issued on production of a Medical/Veterinary Certificate dated no later than the Monday immediately following the event, or at the Secretary’s discretion

16.Change of horse and/or rider must be notified to the Secretary 15 minutes before the start of the class or the entry will become void. An admin fee may be payable

17.Dogs must be kept on leads (non-extending) at all times.

  • 18.All Junior Members must be accompanied by a responsible adult whilst attending events organised by or attended by High Wycombe Riding Club.

19.It is the responsibility of competitors to know the rules – our stewards and officials are there to help and advice. Please remember all our helpers are volunteers.

20.All attendees are reminded that rudeness or bad behaviour will not be tolerated at our events and if doing so, the person or persons may be asked to leave the venue

21.Show Jumping and Cross Country practice jumps will be flagged (red flag on the right) and must only be jumped in the direction indicated. Anyone breaking this rule may be eliminated.

22.You note and accept there will be a no medical or veterinary cover on site at any clinics. If you are attending by yourself, please provide the person on the ground with your emergency contact number and vehicle details.

23.All HWRC events are run under British Riding Club Rules, a full rulebook can be found at http://www.bhs.org.uk/enjoy-riding/british-riding-clubs/brc-handbook

24.Please take your litter home and clear up after your horse(s). Horseboxes are not to be mucked out on site. We are not allowed to leave any mess in the venues and HWRC may be fined, so please help us to keep the grounds clean and tidy. Your co-operation is greatly appreciated.

25.If anyone attending a HWRC event, or representing HWRC at any event violates any of the above the HWRC committee and/or the event organisers reserve the right to ask that person to immediately vacate the venue

  • 26.Members are asked to observe the Highway Code and the Country Code where they relate to horse riding.

27.In addition to the above, HWRC members attending HWRC events also agree to the following:

i.No changes are to be made to the time tables and/or groups without prior consultation and agreement with the event organisers

ii.No additional activities are arranged as part of the event without prior consultation and agreement with the event organisers

iii.It is not permitted to bring guests to participate in any event or activity included within an event, where numbers are restricted, without prior consultation and agreement with the event organisers

iv.To ensure that the horse or pony they are riding is suitable for the activity in which it is being ridden or handled

v.To respect other members when riding or training in groups and to ensure that all members of that group receive equal opportunities to train and learn

vi.If requested by the HWRC committee and/or the event organisers to leave the venue due to violation of any of the above, you will do so immediately.

vii.You note and accept there will be a no medical or veterinary cover on site at any camps.

  • viii.Any Member chosen to ride for The High Wycombe Riding Club in Team Competitions shall conduct themselves correctly and not bring disrepute upon the Club whilst taking part in the competition. They must also take the responsibility of making sure their horse is fully vaccinated in accordance with British Riding Club Rules for such competitions and within the times dictated in the Official Rules for Riding Club Competitions.

HWRC - HEALTH AND SAFETY – AT ALL EVENTS AND CLINICS

The course’s owner/instructor and HWRC have taken reasonable precautions to ensure the health and safety of everyone present. For these measures to be effective everyone must take all reasonable precautions to avoid and prevent accidents occurring and must obey the rules and instructions of the organisers and stewards/officials.

HWRC - PERSONAL INJURY AND INSURANCE NOTICE – AT ALL EVENTS AND CLINICS

No liability shall fall on the Organisers, Landowners, Judges or Officials in respect of any loss, damage or injury howsoever caused to competitors, their servants, onlookers, horses, vehicles or property in connection with, or arising from, any HWRC event and all competitors are deemed to be liable to indemnify the said persons in respect of any such loss, damage or injury.

HWRC – CANCELLATION AND REFUND POLICY HWRC – EVENT AND CLINIC CANCELLATION

In the event of a cancellation, entry fees will be returned minus an admin fee. This admin fee is on a per horse and rider combination basis.

HWRC – Event and Clinic Postponements

In the event of a Postponement:

A new date will be set which your entry will automatically be transferred to and you will be notified via email.

Once you have been notified of the postponement and the new date, you have 5 working days to inform us whether you can attend or not. Failure to let us know within the 5 working days will result in your entry fees being lost.

If you inform HWRC you cannot attend, we will return your money via cheque to your postal address minus the admin fee.

Alternatively, a few dates will be given to you where your entry can be transferred to. (Please note that the class dressage test may change).

A time limit is given to ensure we can offer an efficient service to you and refund your money. This means we can advertise any unwanted spaces to other riders who might want to attend.

HWRC - Event Relocation

The Organiser has the right to change the location of the event due to unforeseen circumstances. in this situation, our withdrawal policy remains the same.

HWRC – Withdrawals

Clinic Withdrawal:Withdrawals before the closing date will be refundedminus the admin fee

Withdrawals after the closing date are non-refundable unless a replacement is found where a refund will be given minus the admin fee.

Competition WithdrawalsWithdrawals before the closing date will receive a full refund minus the admin fee.

Withdrawals after the closing date and before the withdrawal date must be accompanied by a vet’s or doctor’s certificate and an SAE. If your place is filled, you may at the discretion of the Secretary receive a full refund minus the admin fee. If we are unable to replace you a 50% refund is given.

Withdrawals made after the withdrawal date are non-refundable. If a replacement is found in this situation a full refund may be given at the discretion of the Secretary and minus the admin fee, and must be accompanied by a vet’s or doctor’s certificate

HWRC MEMBERS CAMP – PAYMENTS AND WITHDRAWALS

Once you have been notified of a place, you have 5 working days from the date of notification, to inform us whether you can attend or not. Failure to let us know within the 5 working days will result in your deposit being lost.

If you inform HWRC within the 5 days that you cannot attend, we will refund the deposit in full.

If you fail to make the 2nd instalment payment by the date specified it will be assumed that you no longer wish to attend camp and the organisers reserve the right to offer your place to another member of HWRC. No refund will be payable

If you fail to make the 3rd instalment payment by the date specified it will be assumed that you no longer wish to attend camp and the organisers reserve the right to offer your place to another member of HWRC. If your place is filled by another member of HWRC a refund will be made of the 2nd instalment paid minus the admin fee. If the organisers are unable to fill your place, then 50% of the 2nd instalment paid will be refunded

If you inform HWRC you can no longer attend 3 weeks before the first day of camp a refund of the 2nd and 3rd instalments that have been paid will be refunded minus the admin fee.

If you inform HWRC you can no longer attend 2 weeks before the first day of camp and your place can be filled by another member of HWRC, a refund of the 2nd and 3rd instalments that have been paid will be refunded minus the admin fee. If the organisers are unable to fill your place, then 50% of the total of the 2nd and 3rd instalments paid will be refunded

Any withdrawals within the 5 working days prior to the first day of camp will not be due a refund. However, you may seek to fill your place with another member of HWRC. The replacement may attend camp providing you have asked for and received approval from the camp organisers in writing or via email. Should you be able to find a member to take your place any monetary transactions are to be conducted between you and your replacement and will not form a part of any financial agreement with HWRC.

Withdrawals made 24 hours before any event are non- refundable

ALL Withdrawals must be registered with event organisers in writing or email

HWRC – Refunds

Once a refund has been confirmed please allow 10 working days for your money to be refunded. Refunds are given in accordance with our cancellation and withdrawal policy for each event.

If a place is not allocated where there are restricted numbers, any payments made will be refunded in full, less the original admin fee

HWRC – Admin Fees

Unless an admin fee is specified on the individual downloaded/printed schedule and on the website information, the following admin fees will apply:

Clinics and Events

(£5 Dressage, Combined Training and Hunter Trials & £10 One Day Events)

Camp

£5 per refund transaction

HWRC - Modifications of the Standard Terms and Conditions
High Wycombe Riding Club reserves the right to modify the terms of this agreement at any time. You agree to periodically review this agreement and to be aware of any such revisions.
